Patient Travel During COVID-19: Beth’s Story

Standard travel may seem daunting to healthy individuals, but imagine the burdens and hurdles individuals with rare diseases, cancer, or cognitive disabilities must face while traveling during the COVID-19 Pandemic. Beth and her family are all too familiar with the routine financial and logistical burdens of traveling to her study visits, but the Pandemic proposed new travel challenges. As a rare-disease patient, Beth and her family received personalized, innovative, continuous support from their Clincierge Coordinator during their journey.

Enhanced COVID-19 Patient Travel Solutions

Evolving travel restrictions are the new normal for the clinical trial landscape. We work with your site teams and patients to ensure patient travel remains safe, comfortable, and as smooth as possible.

  • Convert flights to extended ground transportation
  • Reimburse patients for car rentals
  • Charter flights for patient travel
Beth and her family needed to fly to Spain for her study visit, but air travel and public transportation were no longer viable options due to COVID-19. Beth’s Clincierge Coordinator quickly worked to convert the air and rail travel into two extended private car trips with overnight accommodations for Beth’s family and driver. Due to Beth’s rare-disease impacting her mobility, she required a custom-fitted wheelchair. The Clincierge Coordinator gathered information to ensure the private car was large enough to fit the wheelchair and confirm that the driver followed the enhanced safety and sanitation precautions.

Convenient Patient and Staff Relocation Services

We understand the uncertainty and restrictions surrounding clinical trial travel during the COVID-19 pandemic. Our customized travel plans work to enable clinical trials to continue.

  • Patient relocation services – to site
  • Clinical staff relocation services – to patient
  • IP/Speciment/Sample transport
  • Medical device and equipment transport
Due to the uncertainty of COVID-19 local restaurants and food establishments surrounding the treatment site, including the hotel kitchen, were closed for service. The Clincierge Coordinator worked to confirm there were at least two options available within a few miles of the site and hotel that would be open to selling food and supplies. The Clincierge Coordinator provided a summary of facilities and the types of foods available before travel, accommodating Beth’s specific dietary needs, and the requests of her family and the driver.

Beth and her family’s trip went smoothly amid the turbulence of the Pandemic. She arrived at her life-saving treatment safely, comfortably, and on-schedule.

The trip went very well. I just wanted to thank you for setting everything up. It’s been a little over 2 years now that I’ve been traveling to undergo eye treatments. I must say this was the easiest trip by far.
